General Information and Conditions

Guaranteed departures All “Fully Escorted Coach Tours” featured in this programme have guaranteed departures. This means that all tours will be performed without a minimum number of participants. Moreover, all the tours in this programme are operated exclusively by Wedo Nordic – Robinson Scandinavia A/S, and therefore not dependent upon the support or cooperation of other tour operators.

Tour escorts All “Fully Escorted Coach Tours” are accompanied by an experienced English-speaking tour escort. Wedo Nordic – Robinson Scandinavia A/S does not operate bilingual or multilingual tours.

Hotels All hotels in our programmes are rated as first-class (i.e. 4 and 4+ stars by Scandinavian standards) and have in addition been selected because of their excellent locations. All city hotels are centrally located, whilst fjord hotels are situated in areas of outstanding natural beauty and close proximity to their respective fjords. Wedo Nordic – Robinson Scandinavia A/S reserves the right to change the featured hotels. In case a hotel is being replaced, a new alternative hotel of a similar standard, location and terms will be advised the latest 1 month prior to tour start.

Hotel rooms in Scandinavia are normally furnished with twin beds, which can be moved together to form a double bed or placed separately. Please note that single rooms are generally smaller than doubles, and are often equipped with a shower instead of a bath. Single travellers on the “Deluxe tours” will be in double/twin rooms for sole use (DSU). Purpose-built triple or family rooms are unusual in Scandinavian hotels. Whilst it is possible for 3 persons to share a room, this will normally be a standard double room with an extra bed (sofa bed or a rollaway bed), with correspondingly less space to move about.

Luggage Passengers may bring 1 piece of luggage per person on the coach. Hand luggage must be stowed on the overhead shelf. For reasons of security and as a precaution against theft, we strongly advise the use of suitcases which can be locked. On domestic flights inside Scandinavia and Russia, passengers are generally allowed a maximum of 20 kilos of luggage per person.

Luggage handling The carrying of 1 piece of luggage per person between the coach and your hotel room during the tour is always included for in the tour price for guests travelling on the “Fully Escorted Coach Tours” while travelling with the group. Because of security regulations, passengers are normally required to collect and deliver their own luggage at airports.

Meals Buffet breakfast is included during every day of the tour. Dinners will be set menus for welcome and farewell dinners, while dinners in the fjord areas will be buffet style. Days on which lunch is included, are carefully indicated in the program and under the list of services included. Wedo Nordic – Robinson Scandinavia A/S reserves the right to change the featured restaurants. In case a restaurant is being replaced, a new alternative restaurant of a similar standard, location and terms will be advised the latest 1 month prior to tour start.

Vegetarian or special diet meals can normally be arranged; however, these must be requested at the time of booking.

Please note that hotel kitchens in Scandinavia normally close around 22.00 hrs and that in the case of late arrivals it may not be possible to serve dinner after this time. We regret that no refund can be made to clients who arrive too late for dinner. Similarly, no refund can be made for clients who are unable to take breakfast at the hotel because of early flight departures.

Beverages For guests travelling on the “Deluxe tours”: 1 glass of wine/beer/soft drink is included at each group dinner. All other beverages are not included in the tour price and must be ordered and paid on spot.

Extra nights: Clients who have reserved extra nights before the start or after the end of a tour have Scandinavian buffet breakfast included each day.

City sightseeing tour The tour leader will give a short introduction walking tour in the bigger cities for the “fully Escorted tours”.

Service charges, tips and taxes All service charges and taxes at restaurants and hotels are included in the tour price, therefore tipping is not necessary. Gratuities to your tour manager and driver are, according to custom, entirely at your own discretion. However, we recommend: – Tips for the driver is recommended at approx. 1,5-2 EUR/day – Tips for tour manager is recommended approx. 4-6 EUR/day

Additional services Wedo Nordic – Robinson Scandinavia A/S will be pleased to supply on request, prices of additional services, for example, extra hotel nights at the start or end of your tour, transfers, ferries, etc.

Legal Venue and Legislation Legal actions against Wedo Nordic – Robinson Scandinavia A/S shall be tried in accordance with Danish legislation before the Marine and Mercantile court, Copenhagen, Denmark.

Prices The prices of our Escorted Coach Tours are quoted in Euros. Wedo Nordic – Robinson Scandinavia A/S guarantees no changes in the prices published in this brochure. We do reserve the right to change the prices of the tours if significant increase of taxes (VAT) or significant exchange rate variation should occur. A detailed list of all services included in the tour price is to be found under each tour. Any extra expenses incurred by the client during the tour, for example, use of telephone, hotel mini-bars, etc. must be paid directly by the client to the hotel or other provider of such services, before departure.

Booking Conditions:
Reservations All the tours and services in this brochure may be booked through any authorised travel agent in the world.

A deposit equal to 25% of the tour price is payable within 14 days after the booking has been confirmed. The balance is payable not later than 60 days prior to the start of the tour. In the event of a tour being booked less than 60 days prior to the start of the tour, a booking will first be deemed to be confirmed as soon as the tour price has been paid in full. A booking is deemed to be an acceptance of the conditions stated in this brochure.
Payments All payments should be made by bank transfer to the account specified on our invoice.

Cancellations & refunds Cancellations must be made in writing. In case of cancellation more than 60 days before the start of the tour, then any payments already received will be automatically refunded. Cancellations received between 60 and 21 days prior to the start of the tour will be subject to a 50% cancellation fee. In the event of a cancellation being received later than 21 days prior to the start of the tour, or in the case of a no-show, Wedo Nordic – Robinson Scandinavia A/S reserves the right to charge the full tour price. We recommend that guests obtain cancellation insurance.

Children Out of consideration to other passengers, and because such tours are generally considered unsuitable for younger children, Wedo Nordic – Robinson Scandinavia A/S will not allow children under 12 years of age on its escorted coach tours. Children between the ages of 12 and 18 will only be accepted if accompanied by an adult.

Passports & visas It is the responsibility of each guest to ensure that they are in possession of a valid passport before the start of the tour. Certain nationalities may also require a visa for visiting the Scandinavian (Schengen) countries. Please find advice at your local consulate or embassy.

Luggage and accident insurance We strongly recommend that each guest take out luggage and accident insurance. Proof of accident insurance is invariably required in connection with visa applications. Wedo Nordic – Robinson Scandinavia A/S cannot be held responsible for the loss of luggage or other personal belongings, or for personal injury, accident or illness. Furthermore, Wedo Nordic – Robinson Scandinavia A/S cannot be required to make any refund in the event of a tour being totally or partially cancelled due to personal injury, accident or illness, once the tour has started.

Complaints In case of any complaint during the tour, the guest must notify the tour manager at once, so that the complaint can be rectified on the spot. In the unlikely event of a complaint not being resolved immediately, then any claims must be made in writing to the travel agent or direct to Wedo Nordic – Robinson Scandinavia A/S, within 7 days after the completion of the tour.

Responsibility Whilst every endeavour has been made to ensure that the services offered by the hotels, transportation companies and other contracted suppliers, are of a high standard and in compliance with local laws and regulations, Wedo Nordic – Robinson Scandinavia A/S cannot be held responsible for any infringements or omissions by third parties. Similarly, Wedo Nordic – Robinson Scandinavia A/S and its agents and contractors cannot be held responsible for any personal injuries or losses caused by force majeure, or by events outside its control, such as strikes and delayed air flights. Wedo Nordic – Robinson Scandinavia A/S reserves the right to make any changes in the tour which it deems to be in the best interests of the passengers. Any legal actions against Wedo Nordic – Robinson Scandinavia A/S shall be adjudicated in accordance with Danish law before the Marine & Mercantile Court in Copenhagen, Denmark.

All agents are obliged to ensure that all information given to Wedo Nordic – Robinson Scandinavia A/S has been collected with necessary consents from the end customers, and in accordance with relevant provision or any applicable data protection legislation.
